Executive Administrator to CEO

The Executive Administrator plays a critical role in enabling the CEO of Jeel to operate efficiently and effectively. Acting as a trusted partner, this role manages high-level administrative support, complex scheduling, travel planning, sensitive correspondence, board reporting, and cross-functional coordination with senior stakeholders. The ideal candidate embodies discretion, agility, and precision — enabling the CEO to focus on strategic decisions while the day-to-day flow is expertly handled.

Key Responsibilities:

  • Uphold confidentiality, data security, and integrity across all CEO-related communication and files.
  • Ensure all administrative activities adhere to company policies, compliance standards, and governance protocols.
  • Manage CEO’s daily calendar, appointments, and meeting logistics (internal/external).
  • Draft, review, and distribute professional correspondence, reports, and presentations.
  • Coordinate domestic and international travel: itinerary, visas, bookings, expense tracking.
  • Handle sensitive communication with Riyad Bank executives, board members, and key partners.
  • Ensure CEO’s time is optimised by managing access requests and ensuring proper meeting briefings.
  • Executive Calendar & Scheduling: Manage the CEO’s calendar with precision, balancing high-priority meetings, strategic engagements, and necessary preparation time.
  • Meeting Coordination & Follow-up: Organise, attend (where necessary), and document meetings, ensuring actions are tracked and completed.
  • Travel & Protocol Management: Plan and execute all travel logistics, including itinerary creation, visa processing, accommodation, and expense reconciliation, with VIP protocol awareness.
  • Board & Leadership Support: Collate, prepare, and review board-level documents, ensuring alignment with governance standards and submission timelines.
  • Communication Management: Draft and manage sensitive internal and external communications on behalf of the CEO with tact and professionalism.
  • Digital Tools & Systems: Leverage Microsoft 365, SharePoint, and Notion to manage information flow, task trackers, and dashboards for the CEO.
  • Confidential File & Document Management: Maintain a robust filing system for contracts, correspondence, board papers, and confidential documents.
  • Identify inefficiencies in existing administrative practices and propose streamlined workflows to enhance CEO Office operations.
  • Seek feedback from stakeholders and implement improvements for better responsiveness and turnaround times.
  • Stay abreast of best practices in executive administration, including technologies and tools that increase productivity.
  • Recommend enhancements to documentation, reporting formats, and communication protocols for clarity and efficiency.
  • Participate in CEO Office retrospectives and post-event reviews to capture lessons learned and apply to future planning.
  • Act as a culture ambassador and representative of the CEO’s office in engaging with staff and leadership.
  • Support logistics for executive off-sites, strategic planning sessions, and internal communications.
  • Prepare weekly executive summaries, board prep packages, and event briefing notes.
  • Adhere to Jeel and Riyad Bank’s policies on workplace safety and environmental sustainability during executive meetings and travel arrangements.
  • Ensure that vendors and venues selected for CEO engagements comply with safety and hygiene regulations.
  • Uphold quality assurance practices in documentation, file handling, and administrative services to meet internal and external audit standards.
  • Contribute to creating a safe, inclusive, and respectful office environment by modelling ethical behaviour and professionalism.
  • Immediately report any safety concerns, incidents, or protocol breaches to the relevant departments.
  • Support ad hoc strategic initiatives led by the CEO’s office as required.
